Why appointments get missed
Not every missed appointment is caused by an irresponsible customer. People forget, misunderstand the time, lose the original message or discover a conflict and do not know the easiest way to reschedule.
Businesses can also contribute to the problem when appointment information is spread across chat history and staff have no consistent reminder process.
- The customer never clearly confirmed the booking.

Step 1: send a clear confirmation
Once an appointment is agreed, the customer should receive one concise confirmation containing the essential information: date, time, location or meeting method, and what they need to do next.
The business should also know whether that appointment is confirmed rather than assuming silence means yes.
Step 2: remind at a useful time
A reminder is most useful when it gives the customer enough time to act. The appropriate timing varies by business: a consultation scheduled weeks ahead may need a different reminder pattern from a same-week property viewing.
Avoid turning reminders into spam. The goal is to surface useful information at the right moment, not repeatedly message a customer who has already responded.
Step 3: make rescheduling simple
A customer who cannot attend is more valuable when they reschedule than when they simply disappear. Give them a clear way to say they need another time and route that request back into the booking workflow.
When automation cannot safely select a new slot, it can still collect the request and make the next action obvious to a staff member.
Step 4: keep unresolved appointments visible
The operational benefit comes from knowing which bookings need attention. Instead of searching through WhatsApp chats, staff should be able to identify appointments awaiting confirmation, rescheduling or another action.
Use automation to support staff, not create confusion
Appointment automation works best when the system has clear rules and can escalate exceptions. A customer asking an unusual question, reporting an urgent issue or requesting something outside the normal booking rules should be handed to the appropriate person rather than receiving a guessed response.
